Nezuna Technologies Inc. (“Nezuna,” “we,” “us”) operates the Neztrack platform. This policy explains what personal information we handle and why. We comply with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy law. This is a working draft pending legal review.
01 Who we are & scope
Nezuna Technologies Inc. is a company incorporated in Canada and based in Toronto, Ontario. We provide Neztrack, a guards-management platform made up of three applications:
- Admin Console — a web application used by security companies to run scheduling, live operations, incidents, and payroll.
- Guards App — a mobile app (iOS and Android) used by security personnel to clock in, run patrols, and file incident reports.
- Client Portal — a mobile app used by our customers’ clients to view activity at their own sites.
Neztrack is a business-to-business platform. Our direct customers are security companies (the “Organization”). When you use the apps as an employee of, or a client of, an Organization, that Organization is the controller of operational data and Nezuna processes it on their behalf. For account, billing, and platform-diagnostic data we act as the controller. This policy covers both roles.
02 Information we collect
We collect only what the platform needs to function. The table below summarizes the categories, mapped to how the App Store and Google Play describe them.
| Category | Examples | Why |
|---|---|---|
| Account info | Name, work email, phone number, role, employer | Create and secure your account; identify you to your Organization |
| Precise location | GPS coordinates at clock-in/out and during patrols | Verify guards are inside the assigned geofence; build patrol trails |
| Background location | Periodic location while on an active shift | Live operations map and patrol tracking during a shift only |
| Photos & camera | Images captured for incident reports and checkpoint scans | Document incidents; scan QR/NFC checkpoints |
| Audio | Voice notes attached to incident reports | Capture incident detail hands-free |
We do not sell personal information, and we do not use it for third-party advertising.
03 Location data
Because clock-in is geofence-enforced, location is central to the Guards App. We want to be precise about it:
- Foreground location is read at the moment a guard taps clock-in, clock-out, or scans a checkpoint, to confirm presence inside the assigned site boundary.
- Background location is collected only while a shift is active, to power the live operations map and patrol trails. It stops when the guard clocks out or the shift ends.
- Location is never tracked when a guard is off-shift. You can revoke location permission at any time in your device settings, though clock-in and patrol features will not work without it.
04 How we use information
- Operate core features: scheduling, attendance, patrols, incidents, and payroll.
- Verify attendance and prevent time fraud through geofenced clock-in.
- Send operational push notifications (e.g. incident dispatch, shift reminders).
- Provide your Organization, and its authorized clients, with the dashboards and reports they are entitled to see.
- Maintain security, diagnose problems, and improve reliability of the service.
- Meet legal, regulatory, and audit obligations.
05 Consent & legal basis
Under PIPEDA we collect, use, and disclose personal information with your knowledge and consent, except where the law permits or requires otherwise. By using the apps and granting the device permissions they request, you consent to the handling described here. Where the Organization is the controller of operational data, it is responsible for having an appropriate basis to collect that data from its personnel and clients. You may withdraw consent subject to legal and contractual limits — see Your privacy rights.
07 Retention & account deletion
We keep personal information only as long as needed for the purposes above and to meet legal and audit requirements:
- Active accounts — retained for the life of your relationship with the Organization.
- Operational records (attendance, incidents, patrol logs) — retained for up to 3 years to support audit, dispute resolution, and legal obligations, unless your Organization requires a different period.
- Account deletion — when an account is deleted, we apply a 30-day grace period (so it can be recovered if deleted in error), after which personal data is removed or irreversibly anonymized, except records we are legally required to retain.
You can request deletion of your account and associated personal data by emailing privacy@nezunatechnologies.com or support@nezunatechnologies.com, or by following the steps on our Delete your account page. If your account belongs to an Organization, we may need to coordinate with them before deleting shared operational records.
08 Security
We protect personal information with safeguards appropriate to its sensitivity, including encryption in transit, access controls, role-based permissions, and audit logging. No method of transmission or storage is completely secure, but we work to protect your information and to notify you and the relevant authorities of any breach as required by law.
09 Your privacy rights
Subject to PIPEDA and applicable law, you may:
- Access the personal information we hold about you and learn how it has been used and disclosed.
- Correct information that is inaccurate or incomplete.
- Withdraw consent or request deletion, subject to legal and contractual limits.
- Complain to us, and to the Office of the Privacy Commissioner of Canada, if you are not satisfied with our response.
To exercise any of these, contact privacy@nezunatechnologies.com. We will respond within the time required by law. Requests about data held on behalf of an Organization may be routed to that Organization.
10 International transfers
We are based in Canada and our service providers may store or process data in Canada, the United States, or other countries. Where data is processed outside Canada, it may be subject to the laws of those jurisdictions, including lawful access by their authorities. We use contractual and technical measures to keep protections consistent with this policy.
11 Children
Neztrack is a workplace tool intended for users 18 and older. It is not directed to children, and we do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.
12 Changes to this policy
We may update this policy as the platform or the law evolves. We will post the revised version here and update the effective date. Material changes will be communicated through the apps or by email where appropriate.
